Most guest problems are not guest problems. They are writing problems. A group of nine shows up at a six-sleeper because nobody wrote down maximum occupancy. Music runs until 1 a.m. because the listing never set quiet hours. A dog gets on the sofa because the pet line said "pet friendly" and nothing else. Every one of those is preventable with an airbnb house rules template that is specific enough to enforce and short enough that guests actually read it.
This post gives you a complete airbnb house rules template you can copy today, a breakdown of which rules Airbnb will actually back you on, and the Texas details that matter if your property sits in Houston, Galveston, Austin, Dallas, Fort Worth, or San Antonio. We manage short-term rentals for owners across our markets, and we write house rules for every property we take on. The airbnb house rules template below is the same structure we use.
What Airbnb House Rules Actually Are
Airbnb house rules are the written expectations a guest agrees to when they book: quiet hours, occupancy, pets, smoking, parties, check in and check out time, parking, and property care. They sit on your airbnb listing page, they appear again at booking, and they show up in the guest's reservation details. Guests agree to house rules as part of the booking, which makes them part of a written agreement between you and the guest.
That agreement matters when something goes wrong. When you file through the Resolution Center or ask Airbnb support to step in, the first question is always the same: what did the guest agree to? A house rules template full of vague feelings gives you nothing to point at. Specific house rules with times, counts, and dollar figures give you a document.
Two limits are worth knowing up front. First, house rules do not override law. Local laws, HOA covenants, and city ordinances sit above your rules, and a rule that conflicts with local regulations is not enforceable. Second, house rules do not override Airbnb policy. Airbnb's ground rules for home hosts set baseline requirements on listing accuracy, cancellations, response time, and cleanliness, and no custom rules you write can contract out of them.
Enforceable vs Decorative: What Airbnb Will Back
Hosts waste effort on house rules that read well and mean nothing. If you expect guests to follow a rule, it has to be provable. Here is the honest split.
Rules Airbnb backs
- Parties and disruptive gatherings. Airbnb's Community Disturbance Policy prohibits open-invite gatherings and disruptive gatherings regardless of size, and lists excessive noise, excessive trash, trespassing, smoking nuisances, parking nuisances, and vandalism as signs of disruption. Enforcement can include warnings, suspension, or account removal. When you prohibit parties in your house rules, platform policy is standing behind you.
- Damage and extra cleaning. Host damage protection under AirCover reimburses hosts up to $3 million for guest-caused damage to the home and belongings, plus additional cleaning for stains, pet accidents, smoke odor removal, and cleaning required by extra guests who were never approved. It does not cover normal wear and tear, normal checkout tasks like dishes and trash, or losses from acts of nature.
- Occupancy and unregistered guests. Because cleanup tied to extra guests who were not approved is named in the coverage, a documented occupancy rule and a stated extra guest fee give you real standing.
Rules that are guidance only
- Requests to strip beds, run the dishwasher, or water plants. Cleaning associated with normal check-out tasks is excluded from damage protection, so treat these as polite asks in your digital guidebook, not as core rules.
- Rules that contradict platform policy. You cannot write your way around Airbnb's camera restrictions or its guest refund policies.
- Security deposit language that implies you can charge a card directly. Money moves through Airbnb, not through your own hold, so a security deposit line in your airbnb house rules template should describe the claims process instead.
Cameras: read this before you write anything
Airbnb's policy on security cameras and other devices has banned indoor security cameras and recording devices since April 30, 2024, even when they are switched off or unplugged. Exterior cameras are allowed, but their location must be disclosed in the listing description. Noise decibel monitors are allowed indoors if you disclose their presence and keep them out of bedrooms, bathrooms, and sleeping areas. So your rule is not "do not tamper with cameras" and nothing else. Your rule is a disclosure plus a do-not-tamper line, and the disclosure has to be on the listing page, not buried in a welcome book. For the full breakdown of what devices are allowed, Texas recording law, and where to place hardware, see our guide to Airbnb security cameras.
The Nine Rule Categories Every Airbnb House Rules Template Needs
Cover these nine categories in your airbnb house rules template and you have covered roughly every dispute we see. Together they set guest expectations before arrival. Each one needs a number, a time, or a named location. If a stranger cannot verify a rule from a photo or a timestamp, it is not a rule, it is a wish.
- Maximum occupancy. State the maximum number of overnight guests allowed and what an extra guest costs.
- Parties and events. Prohibit parties explicitly and tie it to the guest count on the booking.
- Quiet hours. Set quiet hours with a start and end time and name the outdoor areas.
- Pets. Approval, pet fee, weight, count, and where the animal may not go.
- Smoking and vaping. Indoor ban, outdoor location, and the extra cleaning fee for a violation.
- Pool and hot tub. Pool hours, supervision, glass, and cover handling.
- Camera disclosure. Exactly where exterior devices are, per platform policy.
- Parking. How many spaces, where, and what the homeowners association allows.
- Check in and check out. Times, late fees, and the short checkout list.
Guest screening sits alongside all of this. Effective airbnb house rules filter guest behavior at the margin, but the booking you accept matters more, which is why we pair every house rules template with a screening process. Our walkthrough of Texas airbnb guest screening covers what you can and cannot ask.
The Copy And Paste Airbnb House Rules Template
Below is a full house rules template written for a three-bedroom Houston home that sleeps six and has a pool. Swap the numbers for your property. This is the airbnb house rules template we hand new owners on day one. Keep the structure. This is a free template, so use it as your starting draft and cut anything that does not apply.
Welcome and agreement
Thanks for booking our home. We keep the list short and specific so there are no surprises. By confirming this reservation, guests agree to the house rules below. Serious violations may lead to additional charges or early termination of the stay.
1. Maximum occupancy
Maximum 6 overnight guests, infants included. The maximum number of guests on the reservation is the number we can host. Extra guests beyond the booked count are not permitted overnight. If your party changes, message us before arrival and we will add them at the extra guest fee of $35 per person per night.
2. Daytime visitors
Up to 4 daytime visitors are welcome between 9:00 AM and 9:00 PM with prior approval in the airbnb message thread. Unregistered visitors may not stay overnight.
3. No parties or events
No parties, events, or open-invite gatherings. This includes gatherings that exceed the registered guests on the booking. Neighbors report disturbances directly to us and to Airbnb.
4. Quiet hours
Quiet hours are 10:00 PM to 7:00 AM, indoors and outdoors. No amplified or loud music on the patio or by the pool at any hour after 10:00 PM. Sound carries between yards here.
5. Smoking and vaping
No smoking or vaping inside the house, in the garage, or in the screened porch. Smoking is allowed on the front driveway only, and an ashtray is provided. Smoke odor remediation is billed at cost through Airbnb. Guests leave the house smoke free or they pay for it.
6. Pets
Dogs welcome with prior approval. Pet charge of $75 per stay, maximum 2 dogs, 50 lbs each. No pets on beds or upholstered furniture, and no pets left alone in the house. Yard waste must be picked up before check out.
7. Pool and outdoor areas
Pool hours are 8:00 AM to 10:00 PM. Swim at your own risk, there is no lifeguard. Children must be supervised by an adult at all times in the pool area. Keep the pool gate closed and latched. No glass in the pool area. Replace the hot tub cover after each use.
8. Grill and fire
The gas grill is for guest use. Turn the propane valve off after cooking. No open flames, fireworks, or fire pits on the property.
9. Parking
Two vehicles in the driveway. No parking on the grass and no blocking the sidewalk. Street parking follows HOA and city rules, and the association tows for overnight street parking.
10. Security devices
There is one exterior doorbell camera at the front door and one exterior camera over the driveway. There are no cameras or recording devices anywhere inside the home. Please do not cover, unplug, or reposition exterior devices.
11. Off limit areas
The locked owner closet in the hallway and the attic are off limits. Everything else in the home is yours for the stay.
12. Damage and reporting
Accidents happen. Report any damage or breakage right away in the Airbnb thread, and we will handle it without drama. Unreported damage found after check out will be documented and submitted through the Resolution Center.
13. Safety and lockup
No illegal activity, no unlawful firearms, and no tampering with smoke or carbon monoxide detectors. Lock the doors and close windows when you leave the property and before you sleep. Emergency contact details are on the fridge and in the digital guidebook.
14. Check in and check out
Check in is after 3:00 PM, and check out time is 11:00 AM. Late check out past 11:00 AM without approval is billed at $50 per hour. Before you go: start the dishwasher, bag the kitchen trash and put it in the blue bin by the side gate, and lock the front door.
15. Neighbors
This is a residential street with families on both sides. Keep noise, parking, and outdoor activity considerate and we will host you again gladly.
That is fifteen rules. Cutting your house rules template below ten usually leaves gaps, and pushing past twenty means guests skim. Every line above is measurable, which is the entire point of a good airbnb house rules template.
How To Write Rules Guests Will Follow
The tone problem is real. Rules written like a lease scare off the exact target guests you want. Rules written like suggestions get ignored by everyone else. A few habits fix it.
- Use plain language. Short sentences, no legal jargon. Many guests read English as a second language, and clear rules survive translation.
- Make everything measurable. "Blue bin by the side gate" beats "trash area". "10:00 PM" beats "late". Measurable house rules are provable house rules.
- Explain why on the top three. A single clause does it: quiet hours protect neighbor relations, no glass by the pool protects bare feet, occupancy limits keep the septic and the insurance honest.
- Lead with the rules that carry money. Occupancy, parties, smoking, and pets are where extra guest charges and cleaning claims come from. Put them first.
- Say the consequence once. One clear fee beats three paragraphs of warnings.
Keep softer requests out of the core list. Stripping beds, watering plants, leaving an honest review: those belong in the welcome guide. A tight airbnb house rules template plus a digital guidebook guests review before arrival outperforms one giant wall of rules every time.
Where And When To Deliver House Rules
House rules nobody reads are decoration. Deliver house rules at four moments and the read rate climbs. Guests who read the house rules directly before arrival cause fewer problems than guests who never open them.
- On the airbnb listing page. Your main house rules go in the structured house rules section, and the camera disclosure goes in the listing description because platform policy requires it there. This is what potential guests see before they book.
- In the booking confirmation message. A four-line summary: occupancy, quiet hours, pets, parking. Nothing else.
- In pre arrival messages. Three days out, send the full rules link and ask for a one-word confirmation. That reply is your paper trail.
- At check in. One laminated page by the door with the six rules that matter most, plus pool and grill safety rules posted where they apply.
The digital guidebook is where the rest lives: wifi, appliance quirks, trash day, and the local recommendations that earn five stars. Our team pairs that with a turnover process, and our turnover cleaning checklist and notes on cleaning standards that drive 5-star reviews show how the two connect.
Enforcing House Rules Without Starting A War
Consistency beats toughness. Enforce house rules the same way for every guest and keep every word inside the airbnb message thread, because that thread is the record Airbnb reads later.
Step one, within minutes. Document first. Timestamped photos or video, a decibel reading if you have a monitor, a neighbor's text with the time visible. Do not confront anyone in person at night.
Step two, one calm message. When a guest violates a rule, the first message sets the tone. Cite the rule by number. "Hi Marcus, quick note: quiet hours start at 10:00 PM per rule 4 of the house rules. Could you move the music inside? Thanks." Most violations end here. When a guest breaks a rule and the first message is friendly, compliance is high and your review stays intact.
Step three, escalate on a clock. If a guest refuses to comply within about an hour, contact Airbnb with your documentation and the rule text. For an unauthorized party, illegal activity, or any safety threat, call local authorities first, then Airbnb. Neighborhood Support exists for exactly this.
Step four, file correctly. For damage, file a reimbursement request within 14 days of the responsible guest's checkout. The guest has 24 hours to respond, and if they decline or ignore it, you can escalate under host damage protection. Airbnb also requires supporting documentation within 14 days of the damage or loss if you want its support team involved. Separately, Airbnb accepts money requests up to 60 days after checkout, but do not use that as your plan. File in days, not weeks.
Step five, review honestly. Facts, not feelings. "Guest exceeded the booked occupancy and hosted a gathering after quiet hours" tells future hosts what they need. Then update your airbnb house rules template if the incident found a gap. Previous guests teach you which additional rules you still need.
Where this gets legally serious is the long stay. In Texas, a guest who overstays can become a tenant question rather than a platform question, and that changes everything about your options. Read when a guest becomes a tenant and our guide to airbnb squatters before you write a 30-plus night rule.
Texas Notes: Pools, HOAs, And Local Regulations
Texas properties carry a few local specifics worth adding to your custom rules.
Pools are common and they are the biggest liability on the list. A large share of the Houston, Dallas, and San Antonio inventory has one. Your pool rules should cover supervision, gate latching, glass, and hours, and your listing should disclose the pool honestly, including any seasonal heating limits, because Airbnb's ground rules require accurate amenity descriptions with restrictions disclosed. Local pool barrier and enclosure requirements vary by city and by whether the property is single family or part of a complex, so verify with your municipality rather than copying another host's language. We cover the operational side in our guide for Texas airbnb hosts with pools.
HOAs are the quiet risk. Many suburban Texas neighborhoods have deed restrictions on parking, trailers, noise, and short-term rental use itself. HOA rules bind you regardless of what your house rules template says, so mirror the strictest of them in your rules and disclose them to guests. Street parking and trailer bans cause more midnight complaints than anything except music.
Occupancy taxes and registration are separate from rules. Hotel occupancy tax runs 17% in Houston and Austin, 16.75% in San Antonio, and 15% in Dallas, Fort Worth, and Galveston, combining state and local portions. That is a compliance item, not a house rule, but it belongs on the same onboarding checklist.
Coastal and storm notes. For Galveston properties, add a short severe weather section: where the shutters and flashlights are, who to call, and what happens to the reservation if an evacuation order lands. Guests appreciate the clarity and it prevents panicked 2 a.m. calls.
How Rules Interact With Damage Claims And Insurance
This is where a boring rules document earns money. AirCover host damage protection is not insurance, and it is not unlimited. It covers guest-caused damage to the home and belongings, damage to parked vehicles, cleanup for stains, pet accidents, and smoke odor, and lost income from cancellations caused by that damage. Host damage protection excludes normal wear and tear, loss of currency, acts of nature, and injury to guests, which falls under host liability coverage instead.
Three rules directly unlock claims. A stated pet policy makes pet damage a violation rather than an accepted risk. A stated smoking ban makes smoke odor remediation billable. A stated occupancy limit makes the additional-unapproved-guest cleaning category apply. Skip those three lines and you are arguing from feelings. Clear pet and smoking policies are the two rules that pay for themselves fastest in the vacation rental business.
None of this replaces a real policy. Platform protection is a backstop for guest-caused incidents, not coverage for your building, liability exposure, or lost revenue from a burst pipe. Our breakdown of the best insurance for airbnb hosts covers what an STR-specific policy should include.
What Rules Cost You In Bookings
Honest math: rules do have a conversion cost. Every rule in your airbnb house rules template narrows your pool, and some restrictions narrow it more than they protect you. A hard no-pet policy on a fenced-yard suburban house in Fort Worth turns away a large, well-paying segment. A 4:00 PM check in with an 10:00 AM check out looks tidy on paper and loses one-night bookings.
The market context matters when you weigh that trade. AirDNA's August 2026 data puts median annual revenue at $45,175 in Galveston with a $318 ADR and 45.1% occupancy, $41,291 in Austin at 57.8% occupancy, $39,947 in Dallas at 60.2%, $35,693 in Fort Worth at 58.2%, $34,819 in San Antonio at 55.4%, and $30,619 in Houston at 56.4%. In a 45% occupancy market like Galveston, a rule that costs you two bookings a month is expensive. In a tighter market you can afford to be pickier.
So write rules that prevent real losses at your property, not rules that answer a horror story you read online. Every rule should have an incident behind it, either yours or a documented pattern in your market.
Adapting The Template By Property Type
Same skeleton, different custom rules for each build type. Add property specific rules that match the real risk of the building, and keep the rest of the house rules template identical across your portfolio.
- Downtown condo. Building quiet hours and elevator or loading dock rules from the homeowners association, guest registration at the front desk, amenity access limits for short-term guests, strict occupancy because of shared walls.
- Suburban family home with a pool. Supervision and gate rules, patio music cutoff earlier than indoor quiet hours, trash day instructions, no trailers or boats in the driveway if the HOA prohibits them.
- Galveston beach house. Sand and wet swimsuit rules for interior floors, outdoor shower instructions, golf cart or beach gear liability, storm and evacuation section.
- Lake or rural cabin. Fire and burn ban compliance, septic system rules on what can be flushed, well water notes, wildlife and trash security, dock or watercraft rules.
- Higher-risk urban house. Tighter guest counts, no daytime visitors at all, noise monitoring disclosed on the listing, and a firm no-party line supported by screening.
Turning an owner worry into custom rules is mechanical. "I am nervous about the pool" becomes: children supervised by an adult at all times, gate closed and latched, no glass, pool hours 8:00 AM to 10:00 PM. Specific rules beat anxious paragraphs, and property specific rules beat generic ones.
Extra Guests, Occupancy, And The Extra Guest Fee
Occupancy is the single most violated line in any airbnb house rules template, so it deserves its own treatment. Two numbers do the work: the maximum number of guests the home can sleep, and the extra guest fee that applies above your base count. Set both in your pricing settings and repeat both in the house rules, because a fee that lives only in the rules text reads like an invention when you try to collect it.
Extra guests are not automatically a problem. A family adding a grandparent is fine. Six booked guests turning into fourteen at 10:00 PM is a different event, and the two need different responses. Our approach is simple: approve extra guests cheerfully when they are disclosed in advance, and treat undisclosed extra guests as a rule violation with documentation attached. That distinction keeps the guest experience warm while protecting the property.
A few lines worth adding to your own airbnb house rules template on this topic:
- Infants count toward the maximum number of guests, or they do not. Say which.
- Daytime visitor limits with a cutoff time, so a pool day does not become a party.
- A single sentence on what happens when a guest breaks the occupancy limit: additional charges through Airbnb and, for large gatherings, early termination of the stay.
- A reminder that extra guests affect septic systems, hot tub capacity, and parking, which is why the limit exists at all.
Using This Free Template Across A Vacation Rental Portfolio
If you run more than one vacation rental, treat this free template as a master document and keep a short variant sheet per property. The core rules stay identical, which makes enforcement predictable for your team, and only the property specific rules change: pool hours here, no boat trailers there, garbage disposal instructions where the kitchen has one.
A workable rollout for any vacation rental portfolio looks like this. Draft the master airbnb house rules template once. Walk each property and list the three risks unique to it. Convert each risk into one measurable rule and add it to the airbnb house rules as its own line. Mark the off limits areas and lock them physically, not just in writing. Then publish, and put a short summary in the pre arrival message so guests stay informed before they ever pick up the key.
Two small habits pay off. First, remind guests of the two rules that matter most for their specific stay rather than resending the whole list. Second, review the document twice a year. House rules that never get enforced should be deleted, and every unfortunate event at a property should produce either a new rule or a hardware fix. Furry friends chewing a door frame is a hardware fix and a pet rule, not a paragraph of pleading.
Common Mistakes In Airbnb House Rules
- Vague adjectives. "Respectful," "reasonable," and "considerate" cannot be proven by anyone.
- Rules nobody enforces. If you never charge the late checkout fee, delete it. Selective enforcement weakens the whole document.
- Copy-paste rules for another climate. Snow and wood-stove rules on a Houston listing signal that the host is not paying attention.
- Undisclosed cameras. Breaking rules that Airbnb itself sets is the fastest way to lose a listing. Disclose exterior devices in the description and keep the interior clear.
- Fees that appear only in the rules. A pet charge or extra guest fee should be set in your pricing settings too, so it is not a surprise line item after checkout.
- Forty rules. Guests skim past ten, and long lists read as distrust.
Enforcement volume is also the honest argument for professional management. Writing airbnb house rules takes an afternoon. Enforcing them at 11:40 PM on a Saturday is the actual job, and it is a big part of why professionally managed listings in our markets earn more per available night: AirDNA's August 2026 data shows managed listings ahead by about 20% in San Antonio, 18% in Houston, and 12% in Galveston, while Dallas is roughly flat. If you are weighing that, read should you hire an airbnb property manager.

Frequently Asked Questions
How many house rules should an airbnb listing have?
Ten to fifteen is the range that works. Fewer than ten usually leaves gaps around occupancy, pets, or pool safety. More than twenty and guests stop reading, which defeats the purpose. Keep the enforceable items in your airbnb house rules template and move soft requests into the guidebook.
Are airbnb house rules legally binding?
Guests agree to your house rules when they book, so the rules form part of the reservation agreement and Airbnb uses them when reviewing disputes. They do not override local laws, HOA restrictions, or Airbnb's own policies. If a rule conflicts with any of those, the rule loses.
Can I charge a guest for breaking house rules?
You can request payment through Airbnb's Resolution Center, and for damage you file within 14 days of the responsible guest's checkout. The guest has 24 hours to respond before you can escalate under host damage protection. Fees only stick when they were stated clearly in your rules before the booking and you have timestamped documentation.
Can I put security cameras inside my airbnb?
No. Indoor security cameras and recording devices have been prohibited since April 30, 2024, including devices that are turned off. Exterior cameras are allowed if you disclose their location in the listing description, and indoor noise decibel monitors are allowed if disclosed and kept out of bedrooms, bathrooms, and sleeping areas.
What do I do when extra guests show up?
Message the guest, reference the occupancy rule by number, and offer to add the extra guests at your stated extra guest fee. Most people pay. If they refuse and stay over the limit, document it, notify airbnb support, and note the violation in your review. Extra cleaning caused by unapproved guests is a covered category under host damage protection.
Do house rules affect my search ranking on Airbnb?
Not directly. What affects performance is the downstream result: clear rules reduce cancellations, bad reviews, and disputes, and review quality and reliability do influence how your listing performs. Restrictive rules can also shrink your booking pool, so weigh each restriction against its real risk.
